Shipping Policy

Due to rising fuel costs, freight and shipping costs, as well as delivery options may fluctuate as dictated by all shipping carriers.

If you are reading this page as part of selecting the Terms & Conditions Shipping Policy before adding your item(s) to cart, then this means the item(s) you are about to purchase are required to ship via a freight carrier. Please Read Section 2 and Section 3 of this page.

Section 1: Small Package Shipments

  • Solarflexion ships to domestic and, in some cases, international addresses.
  • Shipping costs are based on product weight, dimensions of shipping container/box, origin address, destination address, and value of item.
  • Some orders qualify for free shipping and will be noted during checkout (Applicable to the contiguous 48 states, excludes Hawaii, Alaska, and International addresses).
  • All weights are rounded up to the next full pound to reflect the policies of applicable shipping companies.
  • Small Package shipments are sent via UPS, FedEx, and in some cases, USPS.
  • Solarflexion reserves the right to select the shipping carrier.
  • Orders are processed within 1-3 business days, and ship thereafter within 3-5 business days.

Section 2: Freight Shipments

Freight rates currently start at $287.50. Due to the nature of freight shipments, shipping costs vary due to a number of factors. The starting rate of $287.50 is authorized at checkout. Once we receive your order, we will contact you to discuss the details of delivery and give you your shipping options. If the actual freight rate is higher than $287.50, we will then ask for your approval to authorize the difference in shipping cost. Solarflexion works with a variety of freight carriers to provide the most cost effective and reliable delivery service.

When an item that is required to ship freight is added to the cart, the checkout will show a shipping options that states: Cart has item(s) that requires a FREIGHT QUOTE, we will contact you in 1-2 business days with options. Rates Start at $287.50.
Please select this option when completing your order. We will contact you with your shipping options.

When we receive your order, we calculate the actual freight shipping rate based on shipment weight (palletized, bundled, or crated), shipment dimensions, freight class, NMFC, hazardous material classification (if applicable), origin address, destination address, and any accessorial services required. It may take 24-48 hours to prepare your shipping options. We will then contact you via phone to discuss your options and rates and to collect any additional shipping charges based on the freight rates generated.

Items that are required to ship via a freight carrier and on a pallet, skid, bundle, or crate are:

  • Solar Panels greater than 160 Watts
  • Batteries that are hazardous material or weigh more than 65 pounds
  • Inverters that weigh more than 65 pounds
  • Rails that are longer than 108 inches (9 feet)
  • Items or shipments that weigh more than 65 pounds

Please note that freight shipments can also include accessorial service charges for the following. The Solarflexion representative can explain these to you and if your delivery requires any of these service charges. These service charges are imposed by the freight carrier.

  • Residential Delivery fee
  • Lift Gate fee
  • Inside Delivery fee
  • Government Location Delivery fee
  • Delivery Appointment
  • High Cost delivery (narrow streets, metropolitan areas)
  • Hazardous Material (ie. FLA and Lithium batteries)
  • Extreme Length fee (ie. aluminum rails with a length greater than 8 feet)
  • Limited Access fee for delivery areas such as: Airports, Casinos, Camps, Carnivals, Fairs, Religious Institutions, Schools, Colleges/Universities, Medical Facilities, Prisons/Correctional Facilities, Construction Sites, Storage Units, Golf Courses, Country Clubs, Utility Facilities, Military Bases/Facilities, Parks, Farms, Ranches, Court Houses, Day Cares, Hotels, Motels, Resorts, Restaurants, Bars, Night Clubs, Cemeteries, Retirement/ Nursing Homes.

Prior to shipment, acknowledgement and completion of Solarflexion's Freight Terms & Conditions is required. Failure to correctly fill in the Freight Terms & Conditions may result in order delays. A Solarflexion team member will provide the Freight Terms & Conditions form upon placement of an eligible freight order.

Section 3: Delivery Policy

IMPORTANT: All shipments are required to be inspected at the time of delivery. In the event that damage is found, Solarflexion, Inc MUST be notified within 5 business days of the delivery date. If damages are not reported within the 5 business days, we will not be able to replace or reimburse you for the damaged equipment. If we billed you for freight, and shipped on our account, then we will file a claim and ship a replacement order to you.

Please follow the inspection instructions on Section 3A.

3A: Inspection At Time Of Delivery

Items that are required to ship freight due to size and/or weight need to be inspected and signed for at the time of delivery. An adult must be present to inspect and sign for the delivery or else the freight driver will not leave any materials on the site.

If for any reason during the inspection there are noticeable damages to the product, items are missing, OR you suspect there is "Concealed Damage please do the following:

  • Take pictures of the damage(s) and product(s).
    • Notate the damage or missing items on the Bill of Lading (BOL) paperwork with the driver. You will be required you to sign this document, and be given a copy. If a copy is not provided to you, please take a picture of the Bill of Lading (BOL) that you signed.
    • Refuse the delivery with the driver IF the entire shipment is damaged.
      • If only a portion of the shipment is damaged, you can accept delivery, but please notate any damages on the delivery paperwork.
    • Notate the driver’s name and employee/driver number.
    • Contact Solarflexion immediately at 800-942-2424

If Solarflexion shipped your order on your behalf (ie. billed your freight charges prior to shipping your order), we will process a replacement order and have a new shipment sent out to you.

If you are the 3rd Party Shipper and provided shipping paperwork to Solarflexion on your behalf, then you are responsible for filing the claim with the carrier. If you require a replacement order, we will process a new order, and collect payment in full from you for the material and any shipping charges. This is because Solarflexion was not the responsible financial party of the original shipment, and cannot file a claim on your behalf.

Solarflexion cannot be held liable for any damages or missing pieces if you sign or authorize for your delivery without noting any damages on the delivery paperwork. Failure to follow the delivery inspection steps above, may result in a denied claim. If the above steps are not followed. Please note the importance of notating any damages or issues on the delivery paperwork, and refusing receipt of damaged packages (if applicable). Doing this will help assist in a successful claim with the carrier.


3B: For Freight Shipments Going To A Business And Or Commercial Address

The freight truck/company will attempt the delivery per the delivery transit time on the tracking information. The only time the freight company will schedule an appointment for delivery is if a “Delivery Appointment” service is added and paid for in advance of shipping the item(s). If you would like this service, please contact Solarflexion about your order to add this service.


3C: For Freight Shipments Going To A Residential Address

The local freight terminal will contact the consignee’s delivery address to arrange a day and time window for the delivery. If they are unable to reach the consignee, they will contact Solarflexion and we will attempt to reach you. Please have someone on site to receive the delivery during the agreed upon delivery window. If all attempts have been unsuccessful, the items will be returned to our warehouse(s). The order will be treated as a refused item return and a refund will be issued to the card on file. Please note that in these cases, the following costs will be deducted from the total return refund:

  • The original shipping costs to the delivery address. This is the amount paid on the order.
  • The shipping costs for the return to the warehouse. This is the cost it takes to have the item(s) returned to our warehouse(s).
  • Any subsequent restocking fees will be deducted from the refund (up to a 50% restock fee). Based on the item, there may be a restocking fee involved.

3D: For Freight Shipments Where A "Schedule An Appointment" Service Has Been Paid For Prior To Shipping Out The Item(s)

The local freight terminal will contact the consignee’s delivery address to arrange a day and time window for the delivery. Please have someone on site to receive the delivery during the agreed upon delivery window. If all attempts have been unsuccessful, the items will be returned to our warehouse(s). The order will be treated as a refused item return and a refund will be issued to the card on file. Please note that in these cases, the following costs will be deducted from the total return refund:

  • The original shipping costs to the delivery address. This is the amount paid on the order.
  • The shipping costs for the return to the warehouse. This is the cost it takes to have the item(s) returned to our warehouse(s).
  • Any subsequent restocking fees will be deducted from the refund (up to a 50% restock fee). Based on the item, there may be a restocking fee involved.
